Position Objective

The Finance and HR Assistant is responsible for assisting the Internal Experience Department in the completion of the department's day-to-day objectives, providing administrative assistance and documentation support to ensure the department continues to provide accurate reports and data and 2-1-1 San Diego remains in compliance with applicable regulations.

Essential Results

Accounting-related tasks are completed, accurate, and processed on time.

  • Ensures purchase orders are accurate, approved, and have adequate documentation when they are received by the finance team.
  • Manages documentation for business credit card transactions; collects, organizes, and reconciles receipts to the credit card statement.
  • Monitors the Accounts Payable e-mail address; prints and allocates all invoices to prepare them for payment.
  • Collects and reviews staff expense reports, ensuring they are complete & accurate before issuing reimbursement.
  • Keeps petty cash and credit card secure, handles and documents transactions accurately.
  • Assists with the preparation of monthly finance and contract reports by entering accurate data into spreadsheets and assembling documentation packets.
  • Assists with the month-end financial closing process by generating monthly activity reports and contacting vendors to follow up on receipts and invoices.
  • Maintains filing system and responds to requests for records, making copies as needed.
  • Assists with annual financial audit requirements.
  • Retrieves mail from PO Box and makes bank deposits at least weekly.

Human Resource documentation is complete and accurate.

  • Assists in creating documentation for employee information changes, new hires, and employee exits.
  • Supports payroll processing by reviewing timecards for accuracy and approvals.
  • Keeps employee records and computer databases accurate and up-to-date, including confidential payroll files.
  • Helps to complete department objectives by communicating and following up with staff independently.
  • Ensures all live checks and paystubs are distributed to staff on payday.
  • Maintains HR bulletin board and ensures legal postings are current.
  • Provides front desk coverage during receptionist's lunches and absences.

  • Bachelor's Degree preferred; Associate's Degree combined with relevant experience may be substituted.
  • Outstanding organizational skills and excellent attention to detail required.
  • High level of proficiency in web-based systems, Microsoft Excel, Outlook and Word; skills test may be required.
  • Demonstrated ability to exercise tact and good judgment. Must be able to maintain confidentiality when dealing with sensitive information.
  • Experience with payroll processing (especially ADP timekeeping & payroll systems) or contract management is highly desirable.
  • Required to utilize own transportation for fieldwork (with expense reimbursement).
